We found a solution that addresses concerns expressed by staff regarding CPCS applying security controls on personal phones or tablets that receive CPCS email or calendar appointments.
We have identified, examined, and tested (both in IT and with attorney volunteers) a number of products that balance staff concerns with client confidentiality requirements. After a four month testing process, we selected a product called “MaaS360”.
MaaS360 is a “containerization” app. A containerization app limits download of email/calendar to the app itself, and does not allow CPCS to manage anything else on the device. Therefore, CPCS manages only this app (nothing else on the phone).
This app can be downloaded from the Apple App Store or Google Play store. It is free to the user.
CPSC will manage the app (when it locks, length of password, encrypting the data, etc.), but nothing else on the phone. This ensures that CPCS has the necessary protection of CPCS email, while respecting that you are using your own, personal device. With this technology, CPCS has NO ability to manage security on your device, itself. So, for example, if you chose not to password protect your phone, we couldn’t touch that.
We have acquired the software, and we will roll it out in late 2016. Our plan is to have a one month period where both MaaS360 and the old methods of access coexist; this is to allow staff to install and learn the new software. During this time, people can still get email/calendar using their old method. So, if there are any individual installation problems with MaaS360, no one will lose mobile access to their email or calendar. After a month, we will restrict downloading email/calendar appointments to the MaaS360 app only*.
To help everyone understand the process and be successful in implementing and using MaaS360, we will publish a schedule for the roll-out, create installation instructions, supply user guides, and provide frequently asked questions.
