I feel it is important to provide staff communications on Zelly progress, since it is the largest technological and process change at the agency in over a decade.
Purpose of this email: Demonstrate how, in response to feedback, key changes have been implemented since the previous email and plans for the the near future. This is a long email. If you wish to skip the history of changes, go to “What’s in the future.”
Thanks all the staff who have demonstrated patience and provided constructive feedback. We appreciate it. We are working our way through the queue of requests and suggestions.
We knew releasing a major initiative affecting all four divisions (plus specialty groups) and replacing three-existing case management systems would have some challenges, and it has. Currently, we release significant bug fixes / function tweaks 2-3 times per week (in addition to daily tasks, e.g., permission fixes, adding people, removing people, revising/building reports). Releases all involve evening and weekend work to reduce disruption to staff from system downtime.
What we’ve done in response to feedback received (highlights):
- Enabled document viewing in the browser. Staff no longer must download documents to view them
- Desktop mode. When on a mobile device, if you find the mobile view too limiting, scroll to the bottom of any page and select View Full Desktop mode to see all fields
- On the dashboard listing your cases, you may now click directly on a client’s name to go to the client page (goes live end of day, Monday, September 13th)
- On the dashboard, if you hover the cursor over the information icon
next to a client’s last name, you will see key contact details (if they exist)
- In addition to seeing case runsheets on a client page, you may now see client runsheets on a case page
- De-cluttering: For all divisions, hid two sections no one used – CORI Counts and Case Incidents
- Replicating functionality from TRIS/CMS, enabled staff to turn on alerts for others. When creating or modifying or viewing a case runsheet, you may send an alert to other people on the case
- Mobile view shows more details
- By default, you won’t see alerts for things you update. Only for things other people update. You may change this by going to Alerts–>Manage my alerts–> and uncheck “Skip Alerts from My Updates”
- Release notes listing updates to Zelly are under Info in the Action Bar
- Quick Add an Organization from a case. Works similarly to other Quick Add functionality. When searching for an Organization, you may quickly add one from the search box without going to a separate Organization page
- Quick Add person modification. When using Quick Add for a person, you may now include the phone number and phone type
- Include Client Name and Docket Number when printing case runsheets
What’s in the future:
Based on feedback from staff and our own observations, the following major activities are being worked.
- Simpler duplication of charges. Allows staff to take a charge and copy it multiple times within a case.
- 2x weighting of Superior court (including Bind Overs) cases versus District court cases (sometime the week of September 13th)
- De-cluttering (continued). Each division identified additional sections they found unnecessary for their cases. For each division/case-type, unnecessary sections will be hidden (e.g., DYS/YO Staff/ Sentence would be visible for YAD cases, but hidden for Criminal cases)
- Copy runsheets from a person to a case(s) or from one case to other cases
