Below is a step-by-step process to allow you to share a folder with another CPCS staff member. You MUST do all these actions through Outlook Web, not your desktop Outlook.
The person who is sharing the folder out follows the steps below to share the folder:
- Log into webmail at mail.office365.com
- Right click the folder or mailbox you wish to share and select Permissions…
- In the Permissions For window, check the Folder Visible box then click OK.
- Now that default permissions are set up, you can share any folder with another user using the following steps.
- In the Permissions For window, click the plus (+) sign to add another user to the list.
- In the Add permissions window, type the name or email address of the account you want to share this folder with and click Search Contacts & Directory (if you have corresponded with the account before, the name should appear as you type).
- Select Add once you have identified the account you would like to share your folder with.
- Adjust Permission Level accordingly using the drop down menu or manually configure the read, write, delete, and other access using the check boxes. Select OK to finalize all changes.
- It is good practice to send an email message to the account you just shared the folder with to inform that they now have access, i.e., tell the per they can now add your folder.
Once complete, the person who is receiving the shared folder will follow the steps below to open the share:
1. Log into webmail at mail.office365.com
2. Right click on “Folders” and select “Add shared folder”
3. Type the name or email address of the account that shared the folder out and click “Add”
4. Folder should appear at the end of your folders list in the left hand pane.
