SPAM filtering is a balancing act: too tight and you miss critical email; too loose and your email box is flooded with unwanted email.
To address this balance, beginning Friday, April 3rd, each of you will receive a weekly, email, SPAM report on Friday. This report will tell you which emails are caught in our SPAM filters. Once you review the notification email, you can take three actions (see red box on image):
- Deliver – this will send the trapped email to your mailbox.
- Whitelist – this sets the filtering software to NOT trap this email address in the future. You will have to whitelist an email address on two separate occasions, because we get emails through two different mail gateways, which keep separate whitelists. We know this is a pain, and we wanted you to be aware.
- Delete – delete the email from the SPAM filter
You may choose to both “Deliver” and “Whitelist” an email. However, if you select “Delete”, the email is gone FOREVER and no other action can be taken.

You may also change the frequency of SPAM report delivery (green box, above). I, for example, have changed delivery from “every Friday” to “every Day”. You won’t receive an email, when you have no SPAM. So, for example, if you set delivery for “every Day”, but you only have SPAM on Wednesday and Friday of a week, you will only get a SPAM notification on those two days that week.
UPDATE: When you click to delete, whitelist or deliver an email, you may get a notification pop-up that says, “This might be a phishing message…click here to enable functionality…” If you are confident of this email, simply click do not show this message again.
UPDATE: Next time you get a SPAM report, please look at the bottom of your email and you should see “Send me a new report now containing: All quarantined items“.If you click on the “All quarantined items” link, it will immediately check and then email you a SPAM report for your review. You’ll want to save this email, so you can find the link in the future, and request ad hoc reports in the future.
We have two spam filters, so you will need to do this with both of the spam filters. Sorry for the pain of this duplication. You can know that you are requesting a new report from each of the SPAM filters by the address of the link. If you hover your cursor over the All quarantined items link, you will see an address which starts either http://10.10.15.174 or http://192.168.110.174 . So, save a SPAM report email with each of these two different addresses, so you can check them both.
